The rules governing your use of AscentPassport
1. Acceptance of Terms
By creating an account on AscentPassport (ascentpassport.com), operated by AscentPassport Technologies Pvt Ltd ("AscentPassport", "we", "us", "our"), you agree to be bound by these Terms and Conditions ("Terms") and our Privacy Policy. These Terms form a legally binding agreement between you and AscentPassport.
If you are using AscentPassport on behalf of an organisation, you represent that you have the authority to bind that organisation to these Terms. If you do not agree to these Terms, do not use the platform.
2. Eligibility
You must meet all of the following requirements to use AscentPassport:
- Be at least 18 years of age (or the age of majority in your jurisdiction, whichever is higher).
- Not be prohibited from using the platform under applicable law in your jurisdiction.
- Provide accurate, truthful, and complete information during registration and at all times thereafter.
- Maintain the confidentiality of your account credentials and be responsible for all activity under your account.
AscentPassport reserves the right to verify your eligibility and to suspend or terminate accounts that do not meet these requirements.
3. Employee Accounts
One account per identity. Each individual may create only one AscentPassport account, linked to one national identity number (PAN number for India, SSN or National ID for international users). Creating multiple accounts is a material violation of these Terms.
Accuracy of information. You are solely responsible for the accuracy of all employment information you submit. Providing false, misleading, or fabricated employment records is a serious violation of these Terms and may constitute fraud under applicable law. AscentPassport reserves the right to permanently suspend accounts found to have submitted false information and to report such conduct to relevant authorities.
Immutability of verified records. Once an employment record has been confirmed by an HR contact or employer, it cannot be altered or deleted by the employee. You may submit a correction request to privacy@ascentpassport.com if you believe a verified record is factually incorrect.
Visibility controls. You control which sections of your APID profile are visible to employers. Changing your visibility settings takes effect immediately and prospectively. Employers who accessed your profile before a visibility change retain a cached record of the data they unlocked.
APID portability. Your APID belongs to you. You may download a copy of your verified career data at any time from your account settings.
4. Employer Accounts
Authorised use only. Employer accounts are intended for use by human resources professionals, hiring managers, and recruitment teams for the purpose of verifying candidate employment history. Use of employer accounts for any other purpose is prohibited.
Credit consumption. Accessing a candidate's full APID profile or running a verification consumes credits from your account balance. Credits are deducted at the point of access and are non-refundable once consumed, except where AscentPassport is unable to deliver the requested verification.
Data use restrictions. Employers may use verified candidate data solely for the purpose of making or informing employment decisions about that specific candidate. Employers must not:
- Share verification reports with third parties without candidate consent.
- Use candidate data for profiling, marketing, or any purpose other than the specific hiring decision.
- Retain candidate verification data beyond the period necessary for the hiring decision.
- Attempt to reverse-engineer or infer sensitive personal data (PAN, SSN, passport) from verification outputs.
Data Processing Agreement. By using AscentPassport as an employer, you acknowledge that you are an independent Data Controller for your own hiring decisions and that you are responsible for complying with applicable data protection laws in your jurisdiction with respect to the candidate data you access.
HR contact outreach. AscentPassport may contact HR representatives at organisations listed in a candidate's employment history for the purpose of verification. By using the platform, employers acknowledge that their HR teams may receive verification requests from AscentPassport on behalf of former employees.
5. Credits and Payments
Credit purchase. Credits are purchased on a prepaid basis. All purchases are final. Credits do not expire and are not transferable between employer accounts.
Offer Commitment Notes. The Offer Commitment Note feature deducts 5 credits on issuance. If a candidate declines an Offer Commitment Note, the 5 credits are refunded to the employer account. No refund is issued once a note is accepted or expires.
Pricing changes. AscentPassport may change credit costs with 30 days advance notice. Changes do not affect credits already purchased.
Earned credits. Credits earned through verified HR confirmation or invite referral programmes are governed by the specific terms of those programmes and may have different expiry and usage conditions.
Taxes. Credit prices are exclusive of applicable taxes. You are responsible for any GST, VAT, sales tax, or similar taxes applicable in your jurisdiction.
Refund policy. Credits are non-refundable except where required by applicable consumer protection law in your jurisdiction, or where AscentPassport is unable to deliver the service for which credits were charged.
6. AI Verification and AP Score
Nature of verification. AscentPassport uses AI-powered agents to analyse employment information and calculate an AP Score. The AP Score is an indicator of the consistency and verifiability of the employment history submitted — it is not a character reference, a credit score, or a guarantee of suitability for any role.
Limitations. AI verification is subject to the availability of HR contacts, the accuracy of information provided, and the inherent limitations of automated analysis. AscentPassport does not guarantee that all employment history can be verified or that all AP Scores are free from error.
No employment decisions. Employers are solely responsible for their hiring decisions. AscentPassport provides verification data as one input among many. We are not liable for any employment decision made in reliance on an AP Score or verification report.
Automated decision-making. If you believe an automated decision has significantly affected you, you have the right to request human review. Submit a request from your Privacy Settings page.
Dispute of results. If you believe your AP Score or a verification result is factually incorrect, you may raise a dispute from your account settings. We will investigate and respond within 30 days.
7. Prohibited Conduct
You must not use AscentPassport to:
- Provide false, fabricated, or misleading employment information.
- Create multiple accounts or accounts on behalf of another person without their consent.
- Attempt to manipulate, game, or reverse-engineer AI verification results or the AP Score algorithm.
- Access another user's account without authorisation.
- Scrape, bulk-export, or systematically harvest verification data.
- Use the platform for any unlawful purpose including but not limited to fraud, identity theft, or harassment.
- Upload malicious code, conduct security attacks, or attempt to compromise platform infrastructure.
- Impersonate any person, organisation, or HR contact.
- Use employer accounts to build unauthorised databases of candidate information.
- Violate the privacy rights of any candidate or employer.
Violations may result in immediate account suspension, permanent ban, and where appropriate, referral to law enforcement authorities.
8. Intellectual Property
AscentPassport and all associated software, algorithms, branding, design elements, and content are the intellectual property of AscentPassport Technologies Pvt Ltd. Nothing in these Terms grants you a licence to copy, modify, distribute, or create derivative works from our intellectual property.
Your personal data and employment history remain yours. By submitting your employment data, you grant AscentPassport a limited, non-exclusive, royalty-free licence to process that data for the purposes described in our Privacy Policy.
9. Disclaimer of Warranties
AscentPassport is provided "as is" and "as available". To the fullest extent permitted by applicable law, we disclaim all warranties, express or implied, including warranties of merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the platform will be uninterrupted, error-free, or free of viruses or harmful components.
10. Limitation of Liability
To the fullest extent permitted by applicable law, AscentPassport's total liability to you for any claim arising out of or relating to these Terms or your use of the platform shall not exceed the greater of (a) the value of credits purchased by you in the 12 months preceding the claim, or (b) INR 10,000 (or equivalent in your local currency).
We are not liable for indirect, incidental, consequential, punitive, or special damages including lost profits, lost data, or loss of business opportunity, even if we have been advised of the possibility of such damages.
Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded by law in your jurisdiction.
11. Indemnification
You agree to indemnify and hold harmless AscentPassport Technologies Pvt Ltd, its directors, officers, employees, and agents from any claims, damages, losses, and expenses (including reasonable legal fees) arising from your violation of these Terms, your submission of false information, or your infringement of any third party's rights.
12. International Users
AscentPassport is available to users worldwide. By using the platform, you agree to comply with all applicable local laws in your jurisdiction. You acknowledge that your data may be transferred to and processed in India, subject to the safeguards described in our Privacy Policy.
If you are located in a jurisdiction where use of this platform or any specific feature is restricted or prohibited, you are responsible for ensuring compliance with local law before using AscentPassport. We reserve the right to restrict access from certain jurisdictions at our discretion.
13. FCRA Notice (US Users)
If you are located in the United States, please note the following:
AscentPassport may be considered a Consumer Reporting Agency (CRA) under the Fair Credit Reporting Act (FCRA) to the extent that employers use our platform to make employment decisions. If applicable, the following rights apply to you:
- You have the right to know if information in a consumer report has been used against you in connection with an employment decision.
- You have the right to request a free copy of your consumer report.
- You have the right to dispute inaccurate information in your report. Disputes will be investigated within 30 days.
- You have the right to receive a pre-adverse action notice before an adverse employment decision is made based on your report, and a final adverse action notice after such a decision.
- Consumer reporting information is retained for a maximum of 7 years in accordance with FCRA Section 605.

14. Termination
By you: You may close your account at any time by contacting privacy@ascentpassport.com. Upon closure, your personal data will be anonymised in accordance with our retention schedule. Verified employment records may be retained in anonymised form for regulatory compliance.
By us: We reserve the right to suspend or terminate your account immediately and without notice for material violations of these Terms, fraudulent activity, or conduct that poses a risk to other users or the platform. We will provide notice where legally required and where doing so does not compromise the security of the platform or an ongoing investigation.
Effect of termination: Termination does not affect any rights or obligations that accrued before the termination date. Credits remaining in a terminated employer account are non-refundable unless termination was caused by our breach.
15. Changes to Terms
We may update these Terms from time to time. Material changes will be communicated by email and through a notice on the platform at least 14 days before they take effect. Continued use of the platform after the effective date constitutes acceptance of the revised Terms. If you do not agree to the revised Terms, you must stop using the platform and may close your account.
16. Governing Law and Disputes
Primary governing law: These Terms are governed by the laws of India. Disputes shall be subject to the exclusive jurisdiction of courts in Ahmedabad, Gujarat, India, except where mandatory local consumer protection law in your jurisdiction requires otherwise.
EU and UK users: Nothing in these Terms affects your rights as a consumer under EU or UK law. You retain the right to bring proceedings in the courts of your country of residence.
US users: Disputes arising under FCRA are governed by applicable US federal law.
Informal resolution: Before initiating legal proceedings, we encourage you to contact us at privacy@ascentpassport.com to seek an informal resolution. Most issues can be resolved quickly this way.
